How to Export Contacts from Zoho

TL;DR

• The route: Setup, then Data Administration, then Export, then Start an Export.
• One export holds up to 200,000 records as CSV, or up to 50,000 as XLSX.
• You download a zip from Export History, and the link works for seven days.
• Zoho's export guide says users with the Export (Module) permission in their profile can use the feature.

To export contacts from Zoho CRM, pick Contacts as the module, add a filter if you only want some people, and click Export. Zoho adds the job to Export History with the status In Progress. When it reads Completed, download the zip and open it to find your CSV or XLSX file. Need new people in Zoho CRM rather than a copy of the old ones? Export Zoho CRM contacts in six steps

These steps follow Zoho's own export guide.

1. Sign in to Zoho CRM as a user whose profile has export permission. Zoho's guide calls it Export (Module).
2. Open Setup, then Data Administration, then Export. This is the Export Data page.
3. Click Start an Export.
4. Pick Contacts from the Module drop-down. To export fewer people, filter by a custom view or by criteria.
5. Choose your fields and file options. The dialog has two sections, Configure and Preferences. Pick All Fields, or choose fields by hand, up to 200. Pick CSV or XLSX. A password is optional, and it locks the whole zip. Then click Export.
6. Open Export History. When the status says Completed, hover over the entry and click Download.

You will get a notification when the file is ready. The download is a zip, so open it to reach your file. Want Excel? Pick XLSX, or open the CSV in Excel.

Two shortcuts skip the Setup menu. In a module, click the ellipsis button next to Create and select Export. Or, in the list view, choose up to 500 records, click More, and select Export Selected Records.

Zoho CRM export limits

How many exports you can run in a day depends on your edition: Free 10, Standard 100, Professional 250, Enterprise 500, Ultimate 1000.

More than 200,000 contacts in Zoho CRM

A CSV export stops at 200,000 records. Zoho's export FAQ adds that these are the oldest records that match your criteria, so the rest stay behind. An XLSX export stops sooner, at 50,000. If your list is bigger than that, pick CSV or split the job.

Zoho's export guide gives one way to split: set criteria based on Created Time, and download several exports. Say you have 340,000 contacts. You could run one CSV export for contacts created before 1 January 2022 and a second for those created on or after 1 January 2022. Choose a date that leaves fewer than 200,000 on each side, and split again if one side is still too big. With on-or-after wording, nobody is skipped or exported twice. Last, add up the rows in all your files and compare the total with the count you expect.

Developers have a second route, the Bulk Read API. A single job exports up to 200,000 records. To fetch more, add the page_token key to the request body. The result is a zip holding a CSV, with an id column added for you, and you have one day to download it. The OAuth scope is ZohoCRM.bulk.read, plus a scope for the module. For one file, the Export page is simpler.

Who can export in Zoho CRM, and why the button may be missing

Zoho's export guide says users with the Export (Module) permission in their profile can use the export feature. Zoho's profile permissions guide words it differently: it lists the permission as Export, under Import / Export Permissions, at Setup, Security Control, Profiles. You can switch it on for individual modules, and the same guide says only modules with view permission turned on are listed there. Zoho also lists a Mass Update tool permission that covers exporting and backing up all CRM data.

If you cannot find Export, ask an admin to check your profile.

What you see in Export History depends on whether you are an admin. Admins see the exports of every user. Everyone else sees only the exports they started.

Notes, attachments and other related data

Notes have their own export. Choose Notes in the Module drop-down, and Zoho asks for the parent module. Zoho's export FAQ says so and uses Contacts as its example, so to get the notes on contacts, pick Contacts. The Parent ID field is added by default, and one notes export holds at most 3,000 notes at a time. To narrow it down, turn on the Include Notes Criteria option.

For attachments, go to Data Backup. Zoho's export guide mentions attachments only under the complete backup, and the Data Backup guide is where the steps are.

Do you rely on activities, related lists or the Owner column? Test first. Export about 10 contacts, open the file, and see what is in it before you run the full job.

Three ways to get data out of Zoho CRM

Zoho's export guide names three options.

Module export

This is the route in the steps above, and the right one for a contacts list. It works on one module at a time, and a CSV file stops at 200,000 records.

Data Backup

A backup copies almost the whole CRM, so it is the wrong tool for a tidy contacts list. Here is what to know:

• Find it at Setup, Data Administration, Data Backup. The Export Data page also has a Request Data Backup link.
• Only users with an administrative profile can request one.
• You can download it at once or schedule it.
• Data and attachments arrive as separate zip folders. The link stays active for at most 7 days.
• Email content and its attachments, Documents, and data that came in through integrations are not part of it.
• On the Free edition, you must buy a one-time backup add-on or upgrade to a paid edition. The Ultimate edition gets four backups at no charge.

Report export

Build a report in Zoho CRM, then export it. The reports guide separates two kinds. A formatted report exports up to 2,000 rows. A detailed report goes up to 50,000 rows. Zoho's export FAQ gives the formats: Excel or CSV for either kind, plus PDF for a formatted report. The Free edition allows no detailed report exports. Either way, the file holds the report's rows and columns, plus the Record ID column if you tick that box.

Update old contacts in Zoho CRM: export, fix, re-import

Picture thousands of old contacts that need fresh details. The export gives you the old rows. The new details come from somewhere else, such as your own research or a data provider. For people who are not in Zoho CRM yet, Add to CRM adds them with verified details in one click.

1. Export the contacts that need new details. Zoho's import FAQ says the exported file will include the Record IDs. Zoho also lets you leave the Record ID out. Don't. Keep that column, and never edit it.
2. Save an untouched copy of the file. Then fix the rows in a spreadsheet.
3. Start an import. Zoho's import guide lists the choices: add as new, update existing records only, or both. Pick update only, or both.
4. Pick a unique CRM field and map it to a column in your file. Our guide to importing contacts into Zoho CRM covers the rest of the import.

Read two warnings from that import guide before you click. Added records can be undone, but updates to existing records cannot be reverted. And unless you choose the skip updating empty values option, a blank cell in your file overwrites the value in the CRM. So import five rows first, check them in Zoho CRM, and only then run the lot. The untouched copy from step 2 holds your old values.

When a Zoho CRM export fails

• The status says Error while Processing. Zoho offers a retry option, so use it.
• Accents look broken. When you set up a CSV export, choose the character set. Zoho says this keeps international characters.
• Contacts are missing. Check your custom view or criteria first, then the size. A CSV export stops at 200,000 records.
• The download link is dead. Links last seven days, so start a new export.
• No Export option. Your profile may lack the permission. See the section above on who can export.
